Refund Policy

1. Introduction
At Farnham Ear Clinic, we aim to provide high-quality, professional ear care and microsuction services.
We understand that circumstances may change, and we have created this Refund Policy to explain how cancellations, reschedules, and refunds are managed in a fair and transparent way.
2. Appointment Cancellations and Rescheduling
We kindly ask that you provide at least 24 hours’ notice if you wish to cancel or reschedule your appointment.

More than 24 hours’ notice:
You may cancel or reschedule your appointment free of charge.
Any pre-paid fees will be fully refunded or transferred to a new booking. -
Less than 24 hours’ notice:
A £30 late cancellation fee may apply, or part of your pre-paid fee may be retained to cover administrative and clinical preparation costs. -
Missed appointments (no-show):
If you do not attend your appointment without notice, the full fee may be charged, and no refund will be issued.
3. Refund Eligibility
Refunds may be issued in the following situations:

The clinic cancels your appointment and cannot offer a suitable alternative.

You cancel within the 24-hour notice period.

You have prepaid for a service that cannot be delivered due to equipment or clinician unavailability.

You have been charged in error.

funds will not normally be provided where:

The procedure or consultation has already been completed.

You are dissatisfied with the outcome of a clinically appropriate procedure (for example, if ear wax removal was not possible due to clinical safety reasons).

You fail to attend or cancel late without sufficient notice.
4. Refund Process

Please include your full name, appointment date, and reason for the refund request.
Refunds will be processed within 5–10 working days using the same payment method originally used.
If you paid via card, please allow additional time for your bank to process the funds.
5. Gift Vouchers and Prepaid Packages

Gift vouchers and prepaid treatment packages are non-refundable, but they may be transferred to another person with written consent from the purchaser.

Expired vouchers cannot be redeemed or refunded.
6. Service Quality Concerns
If you are unhappy with any aspect of your care, please let us know as soon as possible.
We will review your concerns promptly in line with our Complaints Policy and, if appropriate, may offer a partial refund or complimentary follow-up appointment.
